POLICY STATEMENT Staying Covid 19 Secure

Fife Herbal Dispensary Ltd recognise the importance of effective and safe methods of practice during the Covid 19 Pandemic.  Consequently, a full Risk Assessment has been undertaken by the Management to ensure the safety and wellbeing of all staff members, customers, contractors and clients during this period. Advice has been taken from the Government Guidelines and integrated into a full working policy document.

Fife Herbal Dispensary incorporating Health Food and More have implemented strict guidelines, provided the appropriate PPE, hand sanitizing and washing facilities for staff. Additional hand sanitizing and guidelines are in place for customers, contractors and clients.

An outline of these facilities and guidelines are as follows:

Section 1 : Staff and General Public 

Hand Washing/Sanitising
• All persons must sanitise hands on entry to the premises, this will be provided at the entrance to the shop.
• Employees must wash their hands each time they enter the premises and before leaving.
• Employees must wash their hands on a regular basis as per 20 second ruling, posters are displayed at all sinks.
• Hands to be dried with disposable towels.

Social Distancing
• Excluding staff and clinic clients, a maximum of 3 shoppers will be allowed on the premises at any one time.
• Customers will be encouraged to shop alone or attend appointments alone where possible, unless they require specific assistance.
• Entry to the shop will be monitored by staff. Customers/deliveries are required to knock on the door and wait outside till allowed entry by a staff member.
• Each person will be advised on entry how many other people are in the shop and be asked to observe the current 2m distancing protocol.
• Staff, customers and service personnel will observe the 2m social distancing protocol when discussing individual needs and requirements of customers.
• A drive by service will be in place for those who do not wish to enter the shop. The staff member will be responsible for taking the goods to the car, whilst observing social distancing, and on re-entering the premises, must observe hand sanitising protocol.

General Protocols
• All shopping baskets must be sanitized after each single use by a customer.
• Door handles, till work surfaces, card readers, fridge and freezer door handles must be wiped down and sanitised at 30-minute intervals and a check sheet signed.
• Any person who does not adhere to social distancing or hand sanitising will be asked to leave the premises.
• The staff toilet facilities will not be available to anyone other than members of staff, except in an emergency or for a medical need.
• We would prefer when possible that payments are made by card payments only, preferably by contactless. If payment is made in cash staff members will be required to sanitise their hands immediately afterwards.
• Minimal handling of merchandise by both staff and customers.
• When customers require refillable goods, the containers must be sanitized when brought into the shop and before refilling can take place. They will be refilled in a designated area in the back shop, and the worksurfaces sanitized after each single use.
• Sanitising sprays will be available at all workstations in the shop and regular checks made to ensure they are in GWO, and sanitized

Section 2 : Management and Staff Working Practices
• To observe the current social distancing guideline of 2m wherever possible.
• Staffing levels to be in line with safety guidelines
• Management to provide any PPE that is deemed essential to carry out working practices
• To observe correct handwashing procedures at regular intervals during the day, and on entering and leaving the premises.
• Ensure that cleaning protocols are being adhered to at specified
intervals and signed off accordingly
• Staff to report any episodes of ill health immediately to Management and not enter the workplace until cleared to do so.
• All personnel reminded to catch cough and sneezes in tissues and bin immediately. Tissues to be readily available to all staff.
• Staff will have their own allocation of shop phone, which are all colour coded, thus reducing the risk of cross contamination. Each phone must be sanitized regularly during the day and before the close of business.
• Staff breaks will be staggered at lunchtime.
• All staff will be issued with lanyards for writing implements.
• Staff will be provided with PPE equipment should they wish to wear it, or if it becomes mandatory to do so.
• Any recycled bubble wrap, paper and boxes must be placed in a quarantined area at the rear of the shop for a period of 10 days before reuse.
• Any goods that are returned to the shop undamaged will be sanitized where possible and quarantined for a period of 10 days in a designated area or box

Section 3 : Consultations with Medical Herbalist
• Waiting room seating accommodation reduced to observe 2m social distancing protocol
• All required pre-consultation screening paperwork will be sent to client prior to consultation by email or post and should be brought back at the time of the consultation.
• Clients to be advised before consultation to either arrive at appointment time only, or alternatively, clients can remain in their car outside the shop and a text will be sent to their mobile phone when their slot is available, thus reducing time spent on the premises.
• Clients to be advised prior to consultation that should they present any signs or health issues relating to Covid 19, the consultation will be rescheduled to a later date. The clinician reserves the right to reschedule a client appointment if they deem it unsafe to continue at initial meeting.
• Appointments between herbalist clinic and phlebotomy clinic to be allocated at scheduled intervals to reduce client waiting times on premises.
• Social distancing will be observed throughout the consultation and a Perspex screen provides a barrier between both parties during the consultation process.
• It is necessary for full PPE to be worn by the clinician should a physical examination be required during consultation.
• After each consultation, all equipment and worksurfaces are to be cleaned and sanitised and recorded.
• After consultation, Clients will be required to return at a specified time to collect their individual medication, or alternatively, we will text them when their prescription is ready. Clients can either collect in person in the shop or arrange a drive by.
• If clients prefer, consultations can be arranged through other mediums, ie telephone, Skype or Facetime.

Section 4 : Phlebotomy & Food Intolerance Consultations
• Waiting room seating accommodation reduced to observe 2m social distancing protocol.
• All required pre-screen paperwork will be sent to client prior to consultation by email or post. A telephone consultation will be conducted before the consultation to obtain relevant clinical information.
• Clients to be advised before consultation to arrive at appointment time only, or alternatively clients can remain in their car outside the shop and a text will be sent to their mobile phone when the slot is available, thus reducing time spent on the premises.
• Clients to be advised prior to consultation that should they present any signs or health issues relating to Covid 19, the consultation will be rescheduled to a later date. The clinician reserves the right to reschedule a client appointment if they deem it unsafe to continue the consultation.
• Appointments between herbalist clinic and phlebotomy clinic to be allocated at scheduled intervals to reduce client waiting times on premises.

• The appropriate PPE to be worn during blood draws, by both client and practitioner.
• Clients will be asked to return for results at a scheduled time or can be discussed by telephone.
• After each consultation, all equipment and worksurfaces are to be cleaned and sanitized
• All blood draw equipment is disposed of as per Sharp regulations.

Section 5 : Working in the Dispensary
• All staff working in the dispensary must wash their hands as per 20 second rule, before and after each prescription
• Staff must wear PPE equipment during dispensing, ie white coat, which will be changed daily and hair must be tied back and a mesh hairnet must be worn
• No jewellery, nail polish or false nails to be worn in the dispensary
• Staff must sanitize the workstation after each prescription is made and a full sanitizing clean down at the end of every shift.

The management reserve the right to amend or change the current risk assessment and protocols to comply with any Government advice that maybe issued during the Covid period.
